POSITION SUMMARY: Under the direction of the Director of Shelters, the Assistant Director is responsible for the operation for the daily oversight of the shelter program in accordance with approved policies, procedures and standards and the delivery of quality services to all clients on a 24-hour basis. 

POSITION DESCRIPTION: 

  • Provide assistance with the Management and Direction of Support and Human Services Operation.
  • Assist with the development, interpretation, and implementation of the policies and procedures for all staff.
  • Assist with the interviewing, hiring, supervision, scheduling, evaluation, and separation of human and support service staff.
  • Assist the Director with oversight of charts and recording systems providing for proper service control and standards, including DHS and other regulatory agencies.
  • Assist with the evaluation of all organization programs and staff.
  • Promote client relations by assisting with receiving complaints and compliments, investigating, and resolving all complaints.
  • Participate in continuous quality improvement (CQI) activities and agency wide CQI committee and ensures CQI plan is implemented for the program.
  • Assist with the process of accurate reporting to regulatory agencies and internal sources in accordance with regulations and indicated timeframes.
  • Maintain statistical data to allow for efficient reporting including weekly census, monthly reports, Demographic reports, Exit reports, etc.
  • Make recommendations to the Director on matters concerning the physical plant operations and resources.
  • Assist the Director in preparing and monitoring budgetary controls and measures.
  • Supervision of residential operations and case management team
  • Responding to site safety concerns and requirements, including scheduling fire drills and addressing concerns with facilities management staff
  • Ensure compliance with Dept of homeless services contract regulations
  • Coordinating client compliance with rules and client responsibilities as indicated in DHS Client Code of Conduct
  • Responsible for client case planning and overseeing housing goals
  • Making appropriate referrals for client care
  • Stressing housing-readiness during all client interactions
  • Ensure accurate documentation of client case records
  • Preparation of client responsibility forms for DHS review
  • Daily review of client data in CARES system
  • Facilitating weekly case reviews with clinical staff
  • Preparation of demographic reports and updates regarding targeted client populations for DHS review
  • Review of facility incidents and ensure appropriate follow-up
  • On-going training of staff to ensure compliance with VIP, DHS, and OTDA policies and procedures
  • Maintain standards of HIPAA compliance with all client communications
  • Facilitating weekly community meetings with shelter residents
  • Supervision of recreational activities offered to shelter residents
  • Securing adequate staff coverage for all shifts
  • Supervise food service compliance
  • Responsible for all aspects of shelter operations in the absence of the shelter director.
  • All other duties as assigned by the Director.


Maintain a Positive Image of the Organization in the Community the Organization Services and in State and National Organizations.

  • Assist the Director in promoting good community relations through involvement in community affairs and establishment of community outreach programs.


Participate in Job Training and Education Programs, Meetings and Committees.

  • Attend mandatory in-service annually.
  • Chair and participate in various committees and meetings as requested.
  • Attend seminars to further professional development.
  • Maintain a high level of industry knowledge and keep the Agency aware of changes required/recommended in agency operations.

 

JOB COMPETENCY: 

  • Minimum Bachelor’s Degree in Social Work, Psychology, Human Services, or related field, MSW or other Master’s Degree a plus
  • Minimum five years’ experience in supervision or management
  • Minimum three years’ experience in a residential agency or DHS licensed facility.
  • Excellent written and oral communication skills.
  • Ability to interact effectively with all populations served.
  • Ability to speak, read and write the English language.
  • Knowledge of the principles and methods of quality management.
  • Experience and knowledge of Windows computer systems and programs.

 

JOB REQUIREMENTS/SETTING: 

  • Must possess sight and digital senses or prosthetics that will enable the essential functions of the job to be completed.
  • Works throughout the organization and the community at multiple sites.
  • Requires schedule flexibility.

Salary Range:  $80,000.00 – $90,000.00
